Corgi Coaching ("we," "us," or "our") offers one-to-one career and life coaching over video. This policy explains what information we collect through our website at corgicoaching.com, the sign-up questions, your account and your sessions, how we use and share it, how long we keep it, and the choices you have. Please read it carefully.
1. Who we are and what this policy covers
Faroe Group, Inc. operates Corgi Coaching. This policy covers the people who visit our website, answer our sign-up questions, become clients, or apply to coach with us. The service is for adults 18 and older in the United States.
Coaching is not health care. If you choose to tell us or your coach something about your health, it is handled like everything else you write to us, as this policy describes.
2. Information we collect
a. Information you give us
- Contact details. Your first name (a nickname is fine) and your email address.
- Your sign-up answers. What you would like to work on and the answers you choose, anything you write in your own words, your answers to any follow-up questions, your time zone, and, if you are outside the United States, your country.
- Your account and plan. Your sign-in email and first name and, once you buy a plan, the plan, its status and dates, and your session times.
- Your coaching. The session recaps your coach sends you. Your coach also keeps their own notes about your sessions, which only your coach can read.
- Payments. When you buy a plan, you enter your card details into a form run by our payment processor, Stripe. Your card number never reaches our servers, and we do not store it.
- When you contact us. What you send us by email or by text.
- If you apply to coach with us. Your name, email address, mobile number and home address, your training, background and experience, where you are based and how much you can coach, the documents you upload, such as a coaching certificate, your choice about texts and calls from us, and, if you sign our agreement, your typed name and signature. Once you coach with us, also your photo, your profile, your availability, and your notes and recaps for your sessions.
b. Information we collect automatically
- How you arrived. When you first arrive from another site or from a link with campaign tags, your browser keeps the page that sent you (without the rest of its address), the page you landed on with its campaign tags, and whether you came from a Google ad (yes or no, not the ad's click identifier). It keeps where you first arrived from for up to 90 days, and this is sent to us with your sign-up or your coach application.
- The page you sign up on. When you save your sign-up answers or send a coach application, we also store the address of the page you were on, which can include campaign tags and an ad click identifier, the page that sent you there, and your browser type.
- Records of what you agreed to. When you apply to coach, we keep the exact words about texts and calls you were shown and your answer. When a coach signs our agreement, we keep their typed name and signature with their IP address, their browser type and the time, and these appear in the signed copy we send them.
- Sign-in and abuse protection. When you sign in, we keep a record of your signed-in session, which includes your IP address and browser type. To limit how often a sign-in code or a form can be sent, we keep a record of the IP address, and a scrambled (hashed) form of the email address, that asked.
- Server logs. Our hosting provider records standard log data, including your IP address, your browser type, the pages you request and when.
- Analytics and session recordings. We use PostHog to understand how the website is used. See section 7.
c. Where your sign-up answers are kept
While you answer the sign-up questions, your browser keeps a copy of your answers and contact details on your device, so you can pick up where you left off. We stop using that copy 14 days after your last answer, and you can remove it at any time by choosing Start over or by clearing your browser's storage.
Nothing you answer is stored on our servers until you give us your first name and email address (or, if you choose Save and finish later, your email address). If follow-up questions are switched on, your answers pass through our servers to Anthropic to write them before then, without being stored (see section 5). Once you give us your contact details, your answers and contact details are stored on our servers, and each change you make is saved there too, so a person on our team can match you with a coach and so we can send you a link back to your saved answers.
3. How we use your information
- To match you with a coach. A person on our team reads your sign-up answers and chooses a coach for you.
- To write your follow-up questions. After you tell us what led you here, an AI model may read your answers and suggest one or two follow-up questions. See section 5.
- To run your coaching. Your account, your sessions, your plan and your payments.
- To talk with you. Sign-in codes, emails about your sign-up, your plan and your sessions, and answers to your questions. Section 6 says more about emails and texts.
- To run and improve the website. Keeping it working and secure, fixing problems, and understanding which pages and steps work and where people stop.
- For safety and the law. Protecting you, us and others, keeping records of what was agreed, and meeting our legal obligations.
We do not use your information to build advertising audiences, and we do not sell it.
4. Who sees your information and who we share it with
Your coach
Your coach sees your first name, your sign-up answers and your session times. If you coach with us, your clients see your photo.
Our team
People on our team see your contact details, your sign-up answers and your plan, so they can match you, support you and handle payments. They see coach applications, documents and signed agreements, so they can review them. Our team's screens do not show your coach's notes.
The providers who run the service for us
We use these companies to provide the service. Each receives only what it needs for its part:
- Railway hosts our website and servers, and keeps their logs.
- Neon runs our database, which stores the information this policy describes, including the documents and photos coaches upload.
- Stripe processes payments. When you buy a plan, it receives your email address, your card details (which you enter directly into Stripe's form) and our internal ids for you and your plan.
- Amazon Web Services carries the video and audio of your sessions through its Amazon Chime service, and receives technical details about how the call is going. We send it ids we make for the session and for each person in it (for a client, a scrambled form of the email address), never a name or an email address.
- Resend sends our emails, including sign-in codes. It receives your email address and the email itself, and reports back whether it was delivered.
- Anthropic provides the AI model that suggests your follow-up questions. See section 5.
- Slack carries short alerts to our team. A new sign-up's alert gives their first name, the options they picked and how they found us. A new coach application's alert gives the applicant's first name, their training and experience, and where they are. Alerts never include an email address, a phone number, a home address, or anything you wrote in your own words.
- PostHog provides our analytics. Section 7 says exactly what it receives.
Other sharing
- For legal, compliance and safety reasons. To comply with the law, respond to lawful requests and legal process, enforce our terms, and protect the rights, safety and security of you, us and others.
- In a business transfer. If we are involved in a merger, acquisition, financing, reorganization or sale of assets, your information may be transferred as part of that transaction.
- In aggregate or de-identified form. Information that has been combined or stripped so that it cannot reasonably be used to identify you.
We do not sell your personal information.
5. Sessions, AI follow-up questions and safety
Video sessions. Your sessions take place inside your account, through Amazon Chime. Only you and your coach can join your session. We do not record sessions: no audio or video of a session is saved, and nothing is transcribed.
AI follow-up questions. When this feature is on, after you answer "What led you here?" we send your answers, including what you wrote in your own words, to an AI model from Anthropic, which suggests one or two follow-up questions for you. We do not send it your name, email address, time zone or country. You can skip the questions. They are shown only to you, and the questions and the answer you pick are saved with your other answers. The model is told to ask about what to work on in coaching, never to give advice or a diagnosis, and every question is checked before you see it. Our servers do not keep what is sent to the model, only a count of how many times a day it is used.
Safety. If what you write suggests you may be in crisis, we show you how to reach 988 and 911 before anything else, and you choose whether to carry on. We note in your saved answers that we showed this, and we count how many times a day it happens, without recording who it was.
6. Emails and texts
Emails. We email you your sign-in codes, a link back to your saved answers when you save them, and messages about your plan and your sessions. If you leave your answers unfinished, we may send you up to three emails from our team about finishing, only between 8am and 10pm in your time zone. Those emails have an unsubscribe link, and unsubscribing stops them. It does not stop the link you ask for, or emails about your account, your plan or your sessions. For each email we keep a record of who it went to, its subject and what happened to it, such as delivered or bounced, but not its text.
Texts. We do not send automated texts. You can text us at (332) 239-2722, and a person on our team replies. If you apply to coach with us and agree, a person on our team may text or call you about your application. Reply STOP and we stop texting that number.
7. Analytics
PostHog runs on our website, through our own address (corgicoaching.com). It records the pages you view, the page that sent you to us and any campaign tags or ad click identifiers in the address, errors the page runs into, the clicks you make (but not the words on what you click), and events we name, such as which step of the sign-up questions you reach and whether you skipped one. Those events never include your answers, what you write, or your name or email address. When you give us your contact details, we link your PostHog profile to a random internal id for you, never your name or email address, and we may send PostHog a record of the emails we send you under that id. PostHog does not run on the page that opens a link back to your saved answers, on the unsubscribe page, or on the page where a coach signs our agreement.
PostHog may also record how you use our pages, as a replay of how the page looked and where you clicked and scrolled. On the sign-up questions, what you write in your own words, your name and email address, and the follow-up questions are never recorded. Elsewhere, including the coach application and the sign-in page, what you type into a form field may be recorded, and a recording can show which options you picked. Your coach's notes and your recaps are never recorded.
PostHog sets a cookie and uses your browser's storage to recognize your browser across visits. It acts as our service provider.
We do not use advertising tools on our website.
8. Cookies and browser storage
- Signing in. When you sign in, we set a cookie that keeps you signed in on that device for up to 7 days after your last visit. It holds a random identifier, not your personal information, and it is removed when you sign out.
- Analytics. PostHog's cookie lasts up to a year, and PostHog also uses your browser's storage.
- Our own browser storage. Your saved sign-up answers (see section 2c), a coach application you have started (until you send it), and where you first and most recently arrived from (see section 2b).
You can block or delete cookies and browser storage in your browser's settings, though some features may not work if you do. We do not currently respond to Do Not Track or Global Privacy Control signals.
9. How long we keep information
- If you answer our sign-up questions but do not become a client, your answers, contact details and links back to your saved answers are deleted 30 days after your last activity. A link back to your saved answers stops working 14 days after your last activity, or as soon as you choose Start over. We keep the record of the emails we sent you (the address and the subject), and any unsubscribe, so we keep honoring it.
- If you become a client, we keep your account, your sign-up answers, your plan, your sessions, your recaps and your coach's notes for as long as your account exists. They are deleted when you ask us to, unless the law requires us to keep something.
- If you apply to coach with us, we keep your application, your documents and any signed agreement until you ask us to delete them, unless the law or the agreement requires us to keep them.
- Records of what was agreed and of payments are kept as records.
- Server logs are kept by our providers for a limited time.
10. Security
We use reasonable technical and organizational measures to protect personal information, including encryption in transit over HTTPS, sign-in by single-use codes rather than passwords, links back to your saved answers that we store only in scrambled form, and access controls that limit what each person can see. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Children
Our service is for adults 18 and older. We do not knowingly collect personal information from anyone under 18. If we learn that we have, we will delete it. If you believe a minor has given us information, please contact us at support@corgicoaching.com.
12. Your choices and rights
You can ask us to show you the personal information we hold about you, to correct it, to delete it, or to give you a copy. Depending on where you live, you may also have the right to opt out of the sale of your information, targeted advertising and certain profiling, and to appeal if we decline a request. We do not sell your personal information.
To make any request, email us at support@corgicoaching.com. A person on our team handles each request. We may need to confirm who you are before we act on it, and you may use an authorized agent where the law allows, with proof that they act for you. We will respond within the time the law requires. If we decline your request, you can appeal by replying to our answer, and if we deny the appeal we will tell you how to contact your state attorney general. Deleting your information may mean we can no longer coach you, and we may keep what the law requires us to keep. We will not treat you differently for using any of these rights.
You can also unsubscribe from our reminder emails with the link in them, reply STOP to our texts, and cancel your plan online.
Visitors outside the United States. Our service is directed to people in the United States, and we store and process information in the United States. If the laws of the European Economic Area or the United Kingdom apply to you, we rely on your consent, on what is needed to provide the service you asked for, on our legitimate interest in running and securing it, and on our legal obligations. You may have the right to access, correct, delete, restrict or move your data, to object, to withdraw consent, and to complain to your local data protection authority.
13. Other websites
Our website links to websites and services we do not run. This policy does not apply to them, and we encourage you to read their privacy policies.
14. Changes to this policy
We may update this policy. When we do, we will change the "Last updated" date at the top and, where appropriate, give you additional notice.
15. Emergencies
Coaching is not for emergencies or crises. If you or someone else is in danger, call or text 988 for the Suicide and Crisis Lifeline, or call 911.
